Salesforce-RealPage Integration Case Study for Property Management

Introduction

Competition in the real estate and property management industry is intense, which means companies need to be able to sync data between their property management system and CRM. They need to be able to manage tenant information, guest interaction, leasing cycle, and property availability in one place to stay ahead of the competition.

RealPage is a popular property management software solution with passable features. But if you want to take your property management experience to the next level, you can really automate and streamline workflows, efficiency, and customer interactions by integrating RealPage with Salesforce.

This case study explores how Dhruvsoft successfully integrated RealPage and Salesforce for our client and delivered a solution that enhanced operational efficiency, improved customer experience, and delivered real-time insights into key business processes.

Client Overview

Our client, a property management company with multiple residential and commercial buildings, was struggling with manual data entry and inefficient guest card and leasing activity tracking. They were manually entering guest card information, and unit availability into Salesforce, which led to inefficiencies, inaccurate data, and missed follow-ups.

In addition, because real-time non-tracking events occurred, late responses to inquiries and communication breakdowns among leasing representatives occurred. In addition, because the company does not have automation, the process slows down interrupting the company’s lead conversion potential.

To eliminate those pain points, they needed something that would move information between RealPage and Salesforce with accuracy, efficiency, and better customer relationships.

RealPage Overview

RealPage property management software streamlines leasing, accounting, budgeting, and tenant management. It enables property managers to track guest cards, events, and unit availability while automating the leasing process to minimize manual data entry and errors.

Its built-in financial management system automates rent collection, expense tracking, and financial reporting, providing real-time business insights. The platform’s marketing and lead management tools help businesses monitor leads, automate follow-ups, and boost conversion rates.

With advanced reporting and analytics, RealPage delivers actionable insights to optimize pricing, occupancy, and operational efficiency. Its cloud-based system allows remote property management, ensuring seamless access from anywhere.

Integration with Salesforce enhances efficiency by automating lead tracking, sending event notifications, and providing real-time unit availability updates, improving property management and customer experience.

Challenges Before Integration

Before integration, the customer experienced the following operations challenges:

  • Disconnected Systems: Salesforce and RealPage didn’t speak the same language so data wasn’t flowing between the two in real-time business was tracking tenant and property information in Salesforce but manually entering property-related information into RealPage and vice versa. Critical tenant and property data was often out of sync.
  • Manual Data Entry and Duplication: Data was manually entered into RealPage and Salesforce, leading to the risk of duplicate data entry and errors. Teams spent time manually cross-referencing and updating information, wasting time.
  • Delayed event tracking: Leasing teams were not able to track appointments and follow-ups in real time because events were not synched in real-time resulting in missed prospects
  • Inefficient Lead Management: Had to manage leads in different systems - Wasn’t able to track lead progress effectively because information from RealPage wasn’t automatically synced to Salesforce - Missing follow-ups, and losing prospects impacted overall conversion rate and customer experience
  • Unit Availability Issues: Property Managers were not able to keep unit availability up to date in real-time which impacted leasing and prospect communication
  • No Automation: Processes were not automated, and repetitive tasks, increased administrative overhead, and overall efficiency were lost.

Our Solution: Salesforce-RealPage Integration

To meet these needs, we developed an API-based RealPage & Salesforce integration focused on automation and real-time data synchronization to eliminate manual data entry, reduce response times, and improve overall efficiency.

Key Features of the Integration:

  • Automated Prospect Searches:

The integration also eliminates the step of manually looking in RealPage for new leads and automatically syncing Salesforce. The step of manual searching is eliminated from leasing teams so they can talk to prospects instead of data. Automation prevents applications and inquiries from being unprocessed as they were missed on time.

  • Prospect Data Management:

Prospect-related data are stored and kept in Salesforce. This makes it easier for leasing teams to monitor potential residents better, follow up successfully, and have a successful database of leads. Flaws or errors are traced out, which provides consistent and trustworthy data.

  • Resident Data Synchronization:

Resident data synchronization gets information from RealPage to sync records stored in Salesforce to update the resident data in real time. Resident contact and leasing status are kept synced. Data redundancy is avoided by using effective data processing mechanisms, and any inconsistency found while synchronizing data is retained for debugging.

  • Unit Information Updates:

Property unit information is retrieved from RealPage daily in order to keep Salesforce records updated with real-time data. The integration updates continuously unit status, resident occupancy, and other details that are essential. Property managers can therefore make informed decisions without manually entering the data.

  • Contact and Event Management:

The integration equates records from Salesforce to information in RealPage to find updates or add new information. Matching is performed on unique fields like phone numbers and emails so that accurate contacts are updated. Other event records for resident engagement are also synchronized, creating a complete history of interactions.

  • Continuous Data Updates:

For making resident and prospect information current, the integration will check for changes on a periodic basis and push into Salesforce correspondingly. It reduces human interactions to the bare minimum and empowers organizations to make rational choices with real-time data.

Implementation method:

This is how we handle integration:

  • Identify the workflow: First, we met the customer to talk about our daily processes and what data was required between Realpage and Salesforce.
  • Configuration of integration: We used API (web service Methods) to produce integration so that all proper information is automatically synced.
  • Testing: We tested a bit to ensure that all synced and automation worked.
  • Training - we gave training to real page agents after integration completed

Business Impact

  • Improved efficiency: Integration facilitates seamless sharing of data and automation between RealPage and Salesforce, reducing manual intervention and the chances of error. This provides an efficient business process for leasing, property management, and customer service departments.
  • Enhanced customer experience: With real-time synchronizing of information, customers are likely to get more correct and up-to-date information. This can lead to enhanced customer satisfaction and loyalty.
  • Streamlined leasing process: The integration allows for automated assignment and tracking of leads, making it easier to manage prospects and lead-ups for leasing agents. This can lead to a streamlined leasing process and increased lead conversion.
  • Improved decision-making: Based on a centralized data management system, organizations can create timely, precise reports and data. This allows stakeholders to make productive decisions to optimize performance and growth.
  • Higher scalability: As the business grows, an integrated system can grow and expand more efficiently, allowing better utilization of resources and higher productivity.
  • Improved security: Smooth integration means that sensitive data is not exposed by the process of manual data transfer, and the risk of security threats and misuse is reduced.

Results

  • Reduction in manual workload – Instead of manual inputs, data is automatically fetched.
  • Enhanced Response Times – Real-time data sharing allowed for faster follow-up to leads.
  • Improved Data Quality – Discrepancies between RealPage and Salesforce were cleared.
  • Increased Lease Conversions – More accurate tracking and follow-ups resulted in high engagement and more lease signings.

Key Takeaways & Lessons Learned:

  • Consistent data – First and foremost we learned that most of the data had to be correctly mapped and synced between the two systems so as to eliminate any errors that would have made the process extremely frustrating and complicated.
  • Collaboration Key - To get the integration up and running, a few groups collaborated—property managers, IT, and Salesforce experts.
  • Ongoing Enhancements – The live system continues to improve based on client needs, ensuring active properties are effectively and efficiently managed for live properties.

Conclusion:

Improve the customer experience by linking Salesforce and RealPage accounts through the integration of key processes.

The transformation of property management’s requirements and customer satisfaction services is due to insights into real-time data sync, automation of processes, and boosted analytical imaging.
